The challenge

The answer to “how do we do this?” gets written once, in a Teams thread or an email, and is then lost. Asking people to stop and re-file it in a separate knowledge tool reliably fails, because the moment a problem is solved is the moment nobody wants to do paperwork.

What I built

One governed pipeline from message to published article. Capture happens inside the conversation, from Teams or Outlook. AI reads the thread, pre-fills the entry from the organisation’s own categories and warns if a similar article already exists. A knowledge manager approves before anything publishes, and the approved article is built as a page people can actually search.

Capabilities

  • Capture from a Teams message or an Outlook email, both landing in one queue
  • AI auto-fill reads the message and pre-fills the submission—flagged for review, never silent
  • Duplicate and similar-article detection, advisory at capture time, to keep the hub clean
  • A guided, validated submission with rich metadata: type, department, audience, language and confidentiality
  • A review gate, then an auto-built article page with its source and approver recorded
  • Ratings and “was this helpful?” feedback, so stale content surfaces itself
  • Feature toggles for the optional and AI features—configurable without a redeploy
  • Everything stays in the tenant: bot, add-in, flows, list and AI all inside Microsoft 365
